Terms of Service

Please read these terms carefully before using ClinicOne.

1. Acceptance of Terms

By accessing or using the ClinicOne platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. These Terms apply to all users, including clinic administrators, healthcare providers, and staff members.

2. Description of Service

ClinicOne provides a cloud-based clinic management platform that includes appointment scheduling, patient records management, billing, communication tools, and related healthcare administration features. The Service is offered on a subscription basis with various plans tailored to different clinic sizes and needs.

3. Account Registration

To use the Service, you must create an account and provide accurate, complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You must immediately notify us of any unauthorized use of your account.

4. Subscription and Billing

  • Free Trial: New accounts may receive a 14-day free trial. No payment is required during the trial period.
  • Billing Cycles: Subscriptions are billed monthly or annually, as selected during signup.
  • Automatic Renewal: Subscriptions renew automatically unless cancelled before the end of the current billing period.
  • Refund Policy: Annual subscriptions may be refunded within 30 days of payment. Monthly subscriptions are non-refundable.
  • Price Changes: We may adjust pricing with 30 days advance notice. Current subscribers will be notified via email.

5. Data Privacy and Security

We take the privacy and security of your data seriously. Your use of the Service is also governed by our Privacy Policy. We implement industry-standard security measures including encryption, access controls, and regular security audits to protect your data.

  • All data is encrypted in transit (TLS/SSL) and at rest.
  • Multi-tenant architecture ensures complete data isolation between clinics.
  • Regular automated backups protect against data loss.
  • Access is controlled through role-based permissions.

6. Acceptable Use

You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:

  • Use the Service for any illegal or unauthorized purpose.
  • Attempt to gain unauthorized access to the Service or its related systems.
  • Upload malicious code, viruses, or harmful content.
  • Interfere with or disrupt the integrity or performance of the Service.
  • Share your account credentials with unauthorized third parties.
  • Use the Service in violation of applicable healthcare regulations.

7. Healthcare Compliance

ClinicOne is designed to assist healthcare providers with practice management. However, you remain solely responsible for compliance with all applicable healthcare laws, regulations, and professional standards in your jurisdiction. The Service does not provide medical advice and should not be used as a substitute for professional medical judgment.

8. Intellectual Property

The Service, including all software, design, content, and documentation, is owned by ClinicOne and protected by intellectual property laws. Your subscription grants you a limited, non-exclusive, non-transferable license to use the Service. You may not copy, modify, distribute, or create derivative works based on the Service.

9. Data Ownership

You retain full ownership of all data you enter into the Service ("Your Data"). We do not claim ownership of Your Data. You grant us a limited license to process, store, and display Your Data solely for the purpose of providing the Service. Upon termination, you may export Your Data within 30 days.

10. Service Availability

We strive to maintain 99.9% uptime but do not guarantee uninterrupted access. We may temporarily suspend the Service for maintenance, updates, or emergency repairs. We will provide advance notice of planned maintenance when possible.

11. Limitation of Liability

To the maximum extent permitted by law, ClinicOne shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, profits, or business opportunities. Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim.

12. Termination

Either party may terminate the subscription at any time. Upon termination:

  • Your access to the Service will cease at the end of the current billing period.
  • You may export your data within 30 days of termination.
  • After 30 days, your data will be permanently deleted.
  • We may terminate your account immediately if you violate these Terms.

13. Modifications to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the modified Terms.

14. Governing Law

These Terms are governed by the laws of the Arab Republic of Egypt. Any disputes arising from these Terms shall be resolved through the competent courts of Cairo, Egypt.
